Team chat apps like Google Hangouts, Microsoft Teams, Slack and Cisco Webex teams have transformed the way we communicate and engage in real-time. 83% of professionals depend on technology to collaborate today. A lot of time and money is spent on these types of tools.

How do you know if you’re using these tools correctly? Team chat really is sync or swim. Or sync or sink, actually. If you’re using them correctly, you’re syncing. If you’re not, you’re more likely to be sinking.

Is your team chat sinking?

19.4% of companies are using team chat apps today. Slack, Microsoft Teams and Cisco Webex Teams dominate desktops in businesses. But, how many of these organisations do you think are getting the most out of their tools?

There’s more to leveraging your enterprise chat apps than simply installing the most popular tool on the market. Adding extra tools to your technology stack doesn’t help if they simply add to fragmentation and silos in your business.

Here are some signs that you could be sinking instead of syncing.

Duplicated work

Failure to implement the right tools and strategies for collaboration in your business means people work on different platforms. Not only does this lead to general confusion among your employees, but it means you get different versions of the same pieces of work. The left hand doesn’t know what the right hand is doing.

To ensure your people know what they need to be doing everyday with their collaboration tools, it’s important to make sure that everyone can access the same flow of information.

Lost information

How often do you and your team find each other messaging “where did you put that link” and “is this the right version”? The problem of having too much information, or the same information in multiple places is very real. Often, people compensate for not knowing what chat tool to use by uploading and messaging the same information across all platforms they have available,

An obvious way to deal with this is to start using threads. If smaller micro-conversations need to happen, keep them to the side so they don’t blur the chat landscape.

Already use threads? Maybe it’s time to separate your teams or workspace into smaller teams altogether. Collaboration is great, but only if everyone in the team is included.

Needless meetings

Nobody like meetings, even with Microsoft Teams or Cisco Webex Teams powering them. But, what do people like less than meetings? Needless meetings. According to The Muse, 67% of meetings are failures. That 67% is taken from an average 25 million meetings per day in the US alone. Add to that the 4 hours a week people spend preparing for these meetings and we can agree it’s unproductive.

The reason behind some of these needless meetings is the silo way of working we continue to see in the modern workplace. If everyone was using the same messaging and file sharing app – or had a way to message across platform – it’s not unfair to suggest that we’d spend less time in needless meetings.

Misaligned Priorities

If your team chat tools are working as they should, you’ll find that everyone in your team is on the same page. On the other hand, if what you actually have is people using a mish-mash of chat tools, then you could find that issues with cohesion start to harm performance.

According to studies, 97% of employees believe that lack of team alignment impacts the outcome of a project. That’s not a typo. That really says 97%. If your Slack users are working to one agenda, but your Skype for Business users are collaborating to a different schedule, this team mis-alingment is a reality.

As with the problem of duplicated work, avoiding misaligned priorities with your chat tools means making sure that everyone is connected in the same space, and has access to the same data.

Poor teamwork

Chat and collaboration tools are designed to bring teams together. Unfortunately, 39% of people still say that their organisation isn’t collaborating enough. It’s not enough to simply install chat tools into your workplace. You also need to make sure that your employees know how to use them, and that they understand their value.

You must strategic about the way that you introduce new tools to a team. Roll apps out slowly, starting with innovators in the workplace that can test and offer feedback about the tool. What’s more, make sure that there’s training available for anyone who may feel uncomfortable with their team apps.

Staff attrition

Studies show that employee satisfaction increases by 15% when collaboration is formally recognised in the workplace. This research is compounded by reports that say that companies with good communication strategies are 4.5 times more likely to retain employees. If your turnover is increasing, instead of falling then it’s safe to say that something has gone wrong. In a world where employees have more power than ever, it’s crucial that your comms strategy is working with you, rather than against, in the war for talent.

Make sure collaboration tools you implement into your workspace are helping people to form deeper connections with their co-workers. A chat app should be a way to improve immersion in company culture, regardless of whether you’re an on-premises, or remote employee.

Unapproved Tools

If people are using multiple chat applications to keep in touch with different members of your group, you’ve got a problem. The issues of Shadow IT and shadow messaging is beginning to run rampant in today’s digital space. Companies are struggling to find a chat tool that appeals to all of their team members at once.
instead of implementing one app and trying to push everyone in your team to use the same tool whether they like it or not, audit which apps are actually in use. If everyone is using the same tool, you’re in the clear. If everyone prefers a different tool, then cause unrest and move everybody off the platform they prefer.
